What is ESI & PF Registration?

Employees' State Insurance (ESI) is a self-financing social security and health-insurance scheme governed by the Employees' State Insurance Act, 1948 and administered by the Employees' State Insurance Corporation (ESIC). It is mandatory for establishments employing 10 or more workers who earn wages of up to ₹21,000 per month, and it provides employees and their dependents with medical care, sickness and maternity benefits, disability compensation, and other social security cover funded by regular employer and employee contributions.

The Provident Fund (PF) is a long-term retirement-savings scheme governed by the Employees' Provident Funds and Miscellaneous Provisions Act, 1952 and administered by the Employees' Provident Fund Organisation (EPFO). It is mandatory for establishments with 20 or more employees, accumulating savings through matching monthly contributions from the employer and employee that deliver financial security at retirement and in circumstances such as illness, disability, or unemployment.

How to Register for ESI and PF

Both ESI and PF registrations are completed fully online through the government’s Shram Suvidha Portal, with ESIC and EPFO issuing their respective codes on approval. The process is entirely paperless and requires no physical presence.

1Step 1: Register on Shram Suvidha Portal

Create an employer account on the unified Shram Suvidha Portal (shramsuvidha.gov.in), through which both ESI and PF registrations are filed.

2Step 2: Fill the Employer Registration Form

Provide establishment details, PAN, employee count, nature of work, and bank particulars in the online registration form.

3Step 3: Upload Supporting Documents

Attach the PAN card, registration certificate, list of employees, and the authorized signatory’s digital signature.

4Step 4: Submit the Application

Submit the completed application online; the system validates the details and generates the registration reference.

5Step 5: ESI & PF Codes Issued

ESIC issues a 17-digit Code Number and EPFO issues a 22-digit Establishment Code, typically within 3–7 working days.

ESI and PF registrations are usually processed within 7–10 working days. Monthly contributions and ECR filings must commence immediately once the codes are allotted.

Post-Registration Compliance

Monthly ESI Contribution

Deposit ESI dues by the 15th of every month — Employee: 0.75% of wages; Employer: 3.25% of wages.

Monthly PF Contribution

Deposit PF dues by the 15th of every month — Employee: 12% of basic + DA; Employer: 12% (8.33% to EPS, 3.67% to EPF).

ECR & Periodic Returns

File the monthly Electronic Challan cum Return (ECR) with EPFO and applicable ESI/PF returns on time.

Employee UAN Activation

Activate the Universal Account Number (UAN) for each employee to enable PF portability and seamless transfers.
